1) Contract and Terms

Your contract is with Tanzania with Love Safaris & Treks Limited (referred to as “TWL,” “we,” or “us”), which is registered in Hong Kong under registration number “__.”

These terms and conditions apply to all brochures, correspondence, and bookings made with us. Any contract with TWL is governed by these terms, and no individual other than TWL’s directors has the authority to alter them. Before booking with us, you must read and understand these conditions, addressing any queries with us beforehand. By requesting us to confirm your booking, you are deemed to have reviewed and accepted these terms before the contract is finalized.

Acceptance of a quote from TWL signifies your agreement to these terms and conditions, effective immediately. Payment for the booking confirms your full acceptance of these terms.

2) Payment and Booking Conditions

To secure your booking with TWL, please adhere to the following payment and booking conditions:

Deposit: A deposit of 50% of the total safari cost is required at the time of booking. This must be paid in US dollars via bank transfer to our designated account.

Final Payment: The remaining 50% must be paid in US dollars via bank transfer or online payment (credit or debit card) at least 60 days before the safari departure date.

Late Bookings: For bookings made within 60 days of departure, full payment is required at the time of booking.

Transaction Charges: All payments must be made net of any financial transaction charges. Clients are responsible for any bank charges or fees associated with payments made through our online payment gateway.

Post-Booking Changes: Once your booking is confirmed, we will make every effort to accommodate any requests for changes to your itinerary or an earlier departure date, subject to availability. Please note that such changes cannot be guaranteed. Any additional costs associated with these modifications will be the responsibility of the client. We will provide you with a detailed estimate of these costs prior to confirming any changes.

3) Cancellation Policy

All cancellations must be received in writing via email. Here are the refund details:

– More than 90 days before departure: You will receive a 25% refund of your deposit.

– 89 to 60 days before departure: No refund of the deposit.

– 59 to 45 days before departure: You will receive a 25% refund of the total amount paid.

– Less than 45 days before departure: No refund.

Some accommodations may have non-refundable deposits or balances. Refunds are subject to the terms and conditions of the individual accommodation and what TWL can recover from them. Refunds for airline tickets will follow the policies of the respective airlines. Most tickets are non-refundable though.

4) Website Pricing

All prices listed on Tanzaniawithlove.com are per person, based on double occupancy (two adults), unless otherwise specified, and are quoted in US dollars (USD). Discount rates for children and peak rates during high or festive seasons are not included. The prices provided on the website are for guidance only and are subject to change. TWL disclaims responsibility for any errors or changes in pricing. All final costs will be detailed in the invoices provided by TWL.

5) Insurance

We strongly recommend that all clients get comprehensive travel insurance before their trip. This should cover trip cancellation and interruption, all medical expenses (including evacuation and repatriation), personal belongings, personal liability, accidental death and permanent disability, and travel document protection. TWL is not responsible for any costs arising from losses or injuries.

6) Force Majeure

This covers circumstances beyond TWL’s control, such as natural disasters, wars, terrorism, civil disturbances, government actions, weather conditions, and other unforeseen events. If affected by force majeure, TWL will inform you of the situation. TWL will not be liable for any delays or failures in fulfilling its obligations due to force majeure.

7) Limitation of Liability

TWL acts as an agent for safari services and is not directly responsible for providing them. The suppliers listed in the itinerary are responsible for delivering the services. The client agrees not to hold TWL fully responsible if any suppliers fail to provide the purchased services, comply with applicable laws, or cause injury, damage, delay, or inconvenience.

8) Itinerary Changes

TWL endeavors to minimize disruptions to our itineraries caused by third-party service providers. However, accommodations and scheduled activities may be subject to change due to unforeseen circumstances. TWL reserves the right to modify or cancel the itinerary or tour inclusions as necessary.

Such changes are typically minor, and we will notify you in writing of any alterations at the earliest opportunity. Major changes, which are rare and typically only arise from force majeure conditions, will be considered only as a last resort. TWL is not liable for any alterations made under such circumstances. If there is a significant adjustment to the tour price, TWL reserves the right to adjust the costs accordingly.

9) Risks and Indemnity

Participating in our trips involves certain risks, which you accept at your own discretion. Safaris include close encounters with wild animals at unfenced camps/lodges. Follow the advice of safari guides, camp managers and game rangers and adhere to safety procedures. By joining our trips, you acknowledge the risks associated with game reserves and lodges, including encounters with wild animals, and the risk of injury, harm, or loss.

10) Participation and Medical Conditions

Prior to departure, it is essential to seek appropriate medical advice to ensure that you are fit for the trip. Individuals who may be unfit for long journeys due to age, illness, chronic conditions, physical disabilities, advanced pregnancy, or mental health issues should refrain from participating. We recommend consulting your physician before traveling. TWL is unable to offer medical advice.

If you or any member of your party has any medical conditions or disabilities that may impact your trip, please inform us before confirming your booking. This will allow us to assess the suitability of the chosen arrangements. You must provide full details in writing at the time of booking. If we determine that we are unable to accommodate the specific needs of the individual, we reserve the right to decline the booking or, if details are not disclosed at the time of booking, to cancel the booking upon discovering these details.

 

11) Disputes and Complaints

If you encounter any issues during your holiday, please notify the relevant organizer (e.g., camp manager, hotel manager, or safari operator) immediately so they can attempt to resolve the issue. If the problem cannot be resolved locally, you must provide a detailed written report to TWL within 3 days of your return. Failure to follow this procedure may result in TWL being unable to investigate and address the issue, which may limit our ability to accept liability.

 

12) Refunds

TWL does not provide refunds for lost travel time, changes to facilities or itineraries after departure, or circumstances beyond the company’s control that necessitate alternative arrangements. Any missed accommodation, service, activity, or tour segment without prior notice will not be refunded. Refunds are not issued for missed services, and no adjustments will be made for unused sightseeing trips or meals.

Final Payment: The remaining 50% of the total cost must be paid in US dollars or your preferred currency (as listed under Payment Options) via bank transfer or online payment at least 65 days prior to the safari departure date.

Late Bookings: For bookings made within 65 days of departure, full payment is required at the time of booking.

Transaction Charges: All payments must be made net of any financial transaction charges. Additional charges may apply depending on the chosen payment method and currency, including transaction fees or currency conversion costs.
